How do I access my RFP Dashboard?
The RFP Dashboard is where you can view and take action on any RFPs related to the clients you are authorized to access.  To navigate to your RFP Dashboard:
1) Go to DOmedia's homepage
2) Hover over 'RFP' in the navigation bar at the top of the screen
3) Click 'RFP Dashboard'

What information is provided in the RFP Dashboard?
  • RFP # - Locate RFPs easier by noting the RFP # associated with it, so that you can easily sort the RFP # column or search for the RFP # from the RFP Dashboard later.  To learn about how the RFP # functions when clicked, click here!
  • RFP Name - Locate RFPs easier by sorting the RFP Name column or searching for the RFP Name.  To learn about how the RFP Name functions when clicked, click here!
  • Campaign - View the name of the campaign that the RFP is included under.
  • Client - See which client is associated with the RFP.
  • Editable By - View whether the RFP is currently editable by the buyer or seller.
  • Last Modified - See when the RFP was last modified.
  • Status - See what the current status of the RFP is.

How do I navigate within the RFP Dashboard?
Once you have landed on the RFP Dashboard, there are many tools you can use to better organize and manage your RFPs.

View - The different views available to you include My Active RFPs, Draft, Out for Bid, Closed, Cancelled, Deleted, Archived, and View Shared RFPs.  These views are based on the various statuses that a RFP can be in.  This tool is helpful in filtering the list of RFPs to a more manageable size.
  • My Active RFPs - This view displays your recently created ('Draft') and issued ('Out for Bid') RFPs.
  • Draft - This view displays recently created RFPs.
  • Out for Bid - This view displays recently issued RFPs.
  • Closed, Cancelled, Deleted, and Archived - These views display RFPs marked with the identical statuses.
  • View Shared RFPs - This view allows you to access RFPs that were created by your colleagues, are related to the clients you are authorized on, and have a status of 'Draft' or 'Out for Bid'.

Entries Displayed - You have the ability to increase or decrease the number of RFPs that are displayed in your RFP Dashboard by using the entries drop-down menu. By default, you'll see 25 RFPs but can choose to see 10, 25, 50, or 100.

Create Project Brief - Create a new project brief straight from the dashboard by clicking this button.  For more information on how to create and issue a project brief, click here!

Export to CSV - When this button is clicked, a spreadsheet of all of the details shown in the table for all of the RFPs contained in that View are downloaded.

Search - Use this tool to search within the listed RFPs to locate the RFP you need to work on in a shorter amount of time than manually searching through the RFPs.

Sort - The listed RFPs can be sorted ascending or descending by clicking on any of the column headers (except Action).

Action - When viewing the list of RFPs from your RFP dashboard, the last column of the table is 'Action'.  There are several actions you can take on a RFP from the dashboard.  A short description of each available action is listed below.

If the RFP has not yet been issued (the RFP's Status is 'Draft'), the following actions are available:
  • Edit - This action is available for RFPs with the status 'Draft' and allows you to make changes to a RFP that has not yet been issued.
  • Delete - A RFP can be deleted when it is still in the 'Draft' state.  This action is typically used when the buyer no longer needs a RFP that they created.
  • Duplicate - This action is used to duplicate the latest saved version of the RFP.
  • Archive - A RFP in any state can be archived in order to take that RFP out of the current view.  The 'Archive' action is generally used for housekeeping purposes.  For example, when a buyer knows that they will not be working on a specific RFP in their Active view, they may opt to archive it just to move it out of their current view and make their list of RFPs more manageable.
If the RFP has been issued, the following actions are available:
  • View - This action is available for RFPs that have been issued and allows you to view the details of the project brief.
  • Revise - This action is available for RFPs that have been issued and allows you to make any necessary edits and notify all vendors on the RFP of your changes.  An example of the email notification that would be sent to vendors is shown below.

  • Cancel - A RFP is generally cancelled when the buyer no longer has the need for the assets being requested or proposed, often due to a change on the client's side.  When a RFP is cancelled, all vendor proposals for the RFP are rejected and email notifications are sent out to all vendors included on the RFP.
  • Duplicate - This action is used to duplicate the latest saved version of the RFP.
  • Message - This action can be used by buyers and sellers when communication outside of the RFP is needed (ex. need to confirm dates) and will pull up the 'Message All' interface seen below.
  • CloseA RFP is typically closed when the buyer has taken all desired actions on the RFP or when the RFP has been contracted from and is no longer relevant.
  • ArchiveA RFP in any state can be archived in order to take that RFP out of the current view.  The 'Archive' action is generally used for housekeeping purposes.  For example, when a buyer knows that they will not be working on a specific RFP in their Active view, they may opt to archive it just to move it out of their current view and make their list of RFPs more manageable.
  • Download - Clicking 'Download' under the Action column from the RFP Dashboard will open the 'Download RFP' box (shown below) giving the options to download all files, all of the proposals, only the proposals marked 'In', or attachments only.  You are also able to include TAB data and TRP calculations in a separate sheet, and re-order the output columns if desired.  To change the order of the columns, simply click on the column name and drag it to the desired location.

  • Compile - This action will compile all of the proposals related to the RFP in a grid for easier review and comparison.

How do I view the history of a RFP from the dashboard?
The history related to a RFP can be viewed by clicking on the RFP # for the desired RFP.  A box (shown below) will pop up displaying the history events for that RFP.

How do I view the status and messages of each vendor I sent the RFP to? What actions are available for individual seller proposals from the RFP Dashboard?
The status, number of messages and unread messages related to the RFP for each vendor, as well as the actions you can take for individual seller proposals, can be viewed by clicking on the RFP Name.  When a RFP Name is clicked, a box similar to the one shown below will pop up.

  • Status - The Status can tell you what actions a seller has taken on a particular RFP.
    • New - The seller has not yet viewed the RFP.
    • Viewed - The seller has viewed the RFP, but has not responded with a proposal yet.
    • Responded - The seller has submitted a proposal for the RFP.
    • Agency Proposed - A buyer entered a proposal on behalf of the seller using the 'Create Proposal' button.
    • Declined - The seller declined the RFP.
  • Messages - This column displays the number of messages exchanged with a vendor about the RFP, and when clicked opens the message thread allowing for a new message to be sent and for previous messages to be viewed.
  • Unread Messages - This column displays the number of unread messages from a vendor on the RFP, and when clicked opens the message thread.  You will be able to view the unread messages, click 'Mark as Read' in order to better track your messages, and respond to a vendor from the message thread.
  • Actions - Depending on the Status, various actions may be available.
    • Create Proposal - This action allows the buyer to create a proposal on behalf of the seller.
    • View Proposal - Clicking on this action brings up that individual seller proposal for the buyer to view.
    • Compile - This action compiles the seller proposal in a grid to be viewed separately from the other proposals.
    • Download - This action opens the 'Download RFP' box (shown below) giving the options to download all files, all of the proposed assets, only the proposed assets marked 'In', or attachments only. You are also able to include Geopath data and TRP calculations in a separate sheet, and re-order the output columns if desired.  To change the order of the columns, simply click on the column name and drag it to the desired location.
