Buyer: Client Authorization Monthly Billing Breakout

Overview

Once a Client Authorization has been created from the RFP, buyers can view a Monthly Billing Breakout that shows how total campaign costs are distributed across time. A Client View setting also gives you control over how much pricing detail is visible — both internally and to clients.

Accessing the Monthly Billing Breakout

  1. From the left navigation panel, go to RFP > Client Authorizations



2. Search for or select your Client Authorization from the list and click View



3. Scroll down past the Map, Inventory, and Flow Chart to reach the Monthly Billing Breakout section




Client View Setting: Totals Only vs. Price Breakout

Under Client Authorization General Information, you will find a Client View option with two settings. This controls how pricing is displayed across the entire authorization — including the summary, the Monthly Billing Breakout, and any exported or shared versions.



Totals Only (Default)

When set to Totals Only, the authorization displays a simplified pricing summary. Taxes and agency fees are included within the Total Media Cost line and are not shown separately. This is the default setting.

The following line items appear:

  • Total Media Cost (includes taxes and fees)
  • Total Non-Media Cost
  • Total

Note: When Totals Only is selected, clicking Issue or Export will show "Fees are hidden" in the modal.

Price Breakout

When set to Price Breakout, taxes and fees are separated out from the media cost, giving your team, and optionally your client, a clearer view of how the total is made up.

The following line items appear:

  • Total Media Cost (net of taxes and fees)
  • Total Non-Media Cost
  • Taxes (Media Tax + Production Tax)
  • Fees (Agency Fees + Production/Installation markups)
  • Total

Note: When Price Breakout is selected, clicking Issue or Export will show "Fees are visible" in the modal.


How Costs Are Reflected in the Monthly Billing Breakout

The Monthly Billing Breakout distributes campaign costs across months based on inventory activity and timing.

A few patterns to be aware of:

Costs follow inventory start dates. Costs begin appearing in the month that inventory becomes active and continue through the duration of the placement. Partial months may show lower totals than full months, and campaigns spanning multiple months will not always divide evenly.

One-time and installation costs. One-time costs such as installation are reflected in the month the inventory begins — they are not spread across subsequent months. This is why the first month of a placement may appear higher than others.

Multiple start dates in one month. If multiple pieces of inventory begin within the same calendar month, that month may show a higher total. Each start date represents a separate inventory activation and can result in multiple cost entries in a single month.

Short-term and single-day inventory. Inventory that starts and ends within a short timeframe will generally have its full cost reflected in that same month.

Why monthly totals vary. Because costs are tied to inventory timing and activity, monthly totals are not evenly distributed. You may notice higher totals in months where more inventory starts, and lower or zero totals in quieter months. This is expected and reflects how your campaign is structured.



When comparing the Monthly Billing Breakout to your contracts or billing reports, you may notice the numbers do not always align. Here is why.

Agency fee billing configuration: At the agency and client level, there is a setting that controls whether agency fees are included in contracts. Depending on how your account is configured:

  • Some clients have agency fees included in the billable total
  • Some clients have agency fees excluded from the billable total

When agency fees are excluded, the amounts on your contracts, sent to your billing system, and in your billing report will be lower than what appears on the Client Authorization. This is not an error — it reflects how your agency has configured fee visibility for that client.

Approved amount vs. billable amount: The Client Authorization total reflects everything approved, including fees and taxes. Your billing report may reflect a subset of those costs depending on what your agency passes through to your billing platform. These two numbers are not always intended to match.






Controlling What Clients See

Showing or hiding the Monthly Billing Breakout From the Client Authorization View page, scroll to the Monthly Billing Breakout section and use the toggle:

  • Click "Show Monthly Billing Breakout to Client" to include it in the client-facing view
  • Click "Hide Monthly Breakout from Client" to remove it from the client view

Note: If Agency Fees are set to hidden for a client, the Fees row will also be hidden in the client-facing breakout regardless of whether the breakout itself is visible. To hide Agency Fees, simply click “Hide Agency Fees from Client” under General Information.







Exporting and Sharing

From the Client Authorization View page, you have options to Export, Get Link, and Update Inventory.

  • Export — Downloads a PDF of the authorization. The PDF reflects the current Client View setting (Totals Only or Price Breakout)





  • Get Link — Generates a shareable client link. The client-facing view reflects the same Client View setting and visibility controls you have configured
  • Update Inventory — Allows users to update inventory within the Client Authorization, and then submit revisions to the client or save for later. If you need to add vendor(s) or multiple new rows of inventory, we suggest adding them to a new RFP or cancelling the authorization to make the updates in the existing RFP grid. Vendors and bulk inventory updates should be added to the RFP before an authorization is created, to ensure contracts pull accurately.





Inventory Information Summary

Below the Inventory Grid on the Client Authorization, there is a collapsible Summary section that breaks out pricing at the inventory level:

  • Media Total (net of Media Tax)
  • Production Total (net of Production Tax)
  • Taxes (Media Tax + Production Tax combined)
  • Grand Total
